How to Document Pre-Booked Stays When Your Airbnb Projection Dropped

How to Document Pre-Booked Stays When Your Airbnb Projection Dropped

The Quick Read: Confirmed future reservations can support a lowered income projection as evidence, but they rarely replace the income figure a DSCR lender has chosen to underwrite. Assemble them as a separate, clearly labeled exhibit, and ask the lender how it will count them before you pay for an appraisal.

  • A projection is a modeled estimate. Your platform records are actual bookings, which is why records carry more weight.
  • Pre-booked stays are unpaid and cancellable, so lenders treat them as corroboration, not as paid income.
  • Build a trailing 12-month package first, then add a forward-bookings schedule as a separate exhibit.
  • Short-term rental purchases typically top out at 75% LTV, with refinances and cash-outs around 70%, and a 1.00 coverage floor, subject to lender guidelines.
  • Never pad, backfill, or alter a booking. Consistent records are the whole point.

You ran a short-term rental projection, and then the number fell. Maybe a new comp set shifted it. Maybe you reran it in a slower season. Either way, the loan now looks smaller than the one you planned around.

Qualifying income for short-term rentals varies by program — some use appraisal market rent, others use documented STR history or projections — and is confirmed in underwriting. Not a Loan Estimate, approval, or commitment to lend. Program availability and eligibility are subject to lender guidelines, credit approval, property review, and underwriting.

Here is the good news. You probably hold better evidence than the model does. This walkthrough explains how underwriting treats short-term rental income, how to document the reservations already on your calendar, and where the approach breaks down. For the full picture of how these loans work, see the complete DSCR loans guide.

Key Terms Defined

Projection: A modeled estimate of what a short-term rental could earn, built from comparable listings rather than from your own bookings.

Pre-booked stay: A reservation a guest has confirmed for a future date. It is not yet paid out to you.

Booked-forward pace: How much confirmed revenue sits on your calendar for coming months, compared with the same point in prior periods.

Long-term rent fallback: The appraiser’s monthly market rent opinion, based largely on traditional lease comps, which a lender may use when short-term income is not accepted.

Reservation schedule: A table listing each future booking with its dates, nights, gross value, and cancellation terms.

DSCR (debt service coverage ratio): Monthly rent divided by the monthly housing obligation: principal, interest, taxes, insurance, and any HOA dues.

Why Did the Projection Drop in the First Place?

A projection drops because it is built from other people’s listings, not yours. AirDNA’s Rentalizer, for example, takes a weighted average of the historical performance of similar active listings within a 10-mile radius. Change the comp set, the season, or the market data, and the output moves.

That tells you something useful. The drop may say little about your property. Ask three questions:

  • Did the comp set change? New listings, closed listings, or reclassified calendar blocks can all shift the average.
  • Did the season change? A projection run in a slow stretch can understate a property that earns most of its income in peak months.
  • Did your own calendar change? If your booked pace is tracking the old number, the model moved and your property did not.

Models also carry error. A practitioner review of AirDNA’s methodology notes that the vendor has no direct API access to Airbnb or Vrbo bookings and infers whether a blocked night is a real booking. It describes property-level projections as estimates layered on estimates. A vendor blog goes further and argues Rentalizer figures can skew optimistic. That claim is the vendor’s own and is not independently verified, so treat it as a caution rather than a measurement.

Your platform records are different. They are actual bookings. That is the core argument for documenting them.

How Does Underwriting Treat Short-Term Rental Income?

Underwriting income generally comes from one of three bases. Across the wholesale network, most programs pick one of these and anchor the DSCR numerator to it:

Income basis What it is Typical use
Trailing history Platform payouts, bank deposits, or management-software data Refinances and existing hosts
Third-party projection A modeled report from a data vendor Purchases with no history
Appraiser’s rent opinion Market rent from the appraisal Fallback or floor

Confirmed future reservations do not sit cleanly in any of the three. They are corroboration for whichever basis the program uses. A lender may glance at them, weigh them, or ignore them. Acceptance varies by program, so treat them as supporting evidence, never as a guaranteed qualifying-income method.

Two more facts shape the outcome. First, many lenders apply an expense factor to gross short-term income before running the ratio. Industry commentary puts that factor at roughly 20% to 25% on gross income, though it is not a fixed rule and some experienced operators see none applied. Second, the appraisal matters. The standard rent schedules, Form 1007 for single-family homes and Form 1025 for two-to-four-unit properties, estimate monthly market rent largely from long-term comps. They do not capture nightly revenue. So a long-term-rent floor can exist no matter how strong your bookings look.

DSCR also compares rent to the housing payment only. Clearing 1.00 is not the same as positive cash flow. Repairs, vacancy, management, utilities, and capital expenses sit outside the calculation.

Step by Step: How to Document Pre-Booked Stays

Do this in order. Each step builds the file a lender or appraiser can actually read.

1. Pull forward-looking earnings from Airbnb

Airbnb’s earnings dashboard includes a performance chart covering past years and future projections, and you can filter upcoming transactions by date and listing or search by reservation confirmation code. A third-party guide from Fullstreak says the chart shows the prior six months, the current month, and a five-month projection built from bookings already held. That detail is secondary, so confirm what your own dashboard shows.

2. Export the records

Airbnb’s export steps run through Today, Menu, Earnings, then Upcoming or Paid, with filters for listing and dates before you get the report. The CSV includes host service fees, cleaning fees, gross earnings, and taxes withheld for each earning. Airbnb also generates monthly and annual statements back to the month you started hosting, which makes a long history easy to assemble.

3. Reconcile to bank deposits

Bank statements alone show pooled deposits, not individual reservations. The platform export ties a deposit back to specific stays, as Relay’s payout explainer describes. It also notes that payouts arrive after check-in, with longer stays paid in installments. So a future booking is not yet cash. Label it confirmed, unpaid. Lendmire’s piece Bank Statement Loan vs DSCR When Your Deposits Jumped or Dropped This Year covers the deposit side in more depth.

4. Build the trailing-12 package

Gather platform statements, payout reports, and bank statements for the last 12 months. Short-term programs typically expect about 12 months of hosting history, either on the subject property or on other short-term rentals you own. Select programs in the network handle thinner histories differently, so ask early.

5. Add the reservation schedule as a separate exhibit

Put the listing’s own history first and the forward bookings second. A clean schedule includes:

Field What to list Common pitfall
Confirmation code Platform reference Screenshots with no code
Check-in / check-out Exact dates Mismatched with platform
Nights Total per stay Counting blocked nights
Gross rate Booking value Mixing in taxes
Cancellation policy Refundable or not Leaving it out
Guest type Paying guest or owner block Counting self-bookings

6. Show the projection against your actuals

Explain why the projection dropped, whether from comp-set changes, calendar-block classification, or seasonality. Then lay your paid and booked revenue beside it. Do not present the pre-bookings as replacing the underwriter’s chosen basis unless the lender agrees.

7. Expect adjustments

Plan for an expense factor, a possible long-term-rent floor, and cautious treatment of any stays that look seasonal.

A Worked Example

Say you own a lake-area cabin and your projection fell. These ratios are modeled assumptions, not market data.

  • The lowered projection, run through the lender’s factor, produces coverage of roughly 0.95x.
  • Your trailing 12 months of paid platform revenue, run through the same factor, comes in near 1.15x.
  • Your forward schedule shows confirmed stays running ahead of the same months last year, consistent with the trailing figure.

In this picture, the trailing history is the underwriting basis, and the forward schedule corroborates it. The projection becomes background. The lender reviews the file subject to its guidelines, credit approval, and property review. Nothing here promises a result. If the trailing figure had come in below 1.00, the paths to review would include a separate select-lender option that takes coverage below 1.00 with leverage and terms adjusted, or a lower-leverage structure.

Where the General Rule Breaks

Purchases with no history. If you are buying, the seller may not share operating statements, and the market may lack comps for a clean report. Purchases usually lean on a projection or an appraiser’s short-term analysis. Forward bookings that belong to the seller may not transfer, so settle them in the purchase agreement.

Vacant months. Gaps tend to count as zero in an average. Do not hand over a trailing record with the empty months left out. Underwriters notice.

Peak versus off-season windows. Pre-booked peak-season stays can overstate sustainable income. Expect caution, and show the full calendar.

Cancellable stays. Refundable bookings can vanish. Non-refundable ones carry more weight. Self-booked or related-party stays are routinely discounted or excluded.

Local rules. A strong booking calendar does not fix a property that cannot legally host.

Property type. Manufactured homes, log homes, and barndominiums are not offered in the network’s DSCR programs, however strong the bookings.

Conventional contrast. A conventional loan generally wants documented rental history before counting short-term income, and second-home loans cap rentals at 180 days a year. A DSCR loan, built for investment properties, has no such cap. If you hit conventional limits, Lendmire’s guide How to Document Airbnb Income When You’ve Hit Conventional Loan Limits walks through that route.

What Not to Include or Alter

Integrity is the differentiator here. Keep these rules without exception:

  • Never pad or backfill bookings to fill a gap.
  • Never edit a screenshot, CSV, or statement.
  • Keep every document consistent. The platform export, bank deposits, and schedule must tell the same story.
  • Mark owner blocks and personal stays honestly.
  • Do not count a pending or cancelled reservation as confirmed.

One inconsistency can sink a file that was otherwise sound.

If the Number Still Comes Up Short

Work down this order:

1. Rerun the projection with corrected inputs, such as accurate bedroom count and amenities.

2. Ask the appraiser whether a short-term income analysis can accompany the long-term rent opinion.

3. Switch the path. If trailing history beats the projection, ask the lender to underwrite on history.

4. Adjust the structure. Lower leverage or a larger down payment can lift coverage, though neither erases leverage caps, credit floors, or reserve rules. Interest-only periods and extended terms exist through select lenders in the network.

5. Wait and build history. Another few months of hosting can change the file.

Across the network, short-term rental purchases typically top out at 75% LTV, with refinances and cash-outs on short-term rental collateral around 70%. Most programs look for a 640 or higher score and a 1.00 coverage floor on both purchases and refinances, subject to lender guidelines. Standard rentals tend to allow a 75% cash-out ceiling, so the two are not interchangeable. Reserves vary by lender, leverage, and loan size, and commonly sit around six months of PITIA (principal, interest, taxes, insurance, and HOA dues).

Ask which income method the lender will use before you write an offer or order an appraisal. Lenders differ on how much weight they give a third-party projection, so the answer shapes how much your own records need to carry.

What the Decision Looks Like in Practice

Think of it as a timeline. Start about 90 days before you plan to submit: export statements and reconcile deposits. At 60 days, build the reservation schedule and note any cancellable stays. At 30 days, write the short reconciliation memo explaining the projection drop and ask the lender which basis it will use.

If you are buying or refinancing a rental property and want to see how the numbers work, Lendmire can help you compare DSCR loan options based on the property income, credit profile, leverage, and investor goals. The brokerage arranges financing through select lenders in its wholesale network across 41 markets, including Washington, D.C. Tax treatment can depend on how the funds are used and how the property is held; investors should keep clear records and speak with a qualified tax professional before relying on any deduction.

Frequently Asked Questions

Can confirmed future bookings count as qualifying income?

Not as a rule. They are unpaid and cancellable, so lenders treat them as supporting evidence for the income basis the program already uses. Whether a given lender gives them any weight varies, so ask before you order an appraisal.

Why don’t my future stays show up in my bank statements?

Payouts arrive after check-in, so a future stay has produced no deposit yet. Bridge the gap with the platform’s upcoming-earnings export and label each line confirmed, unpaid. Past stays can then be matched to deposits.

Is a vacant month hurting me more than a slow one?

Often, yes. Vacant months generally count as zero in an average rather than being excluded. Include them honestly and explain seasonality in your memo.

Do I need 12 months of history to use short-term income?

Short-term programs typically expect about 12 months of hosting experience, on the subject property or on other short-term rentals you own. Thinner histories sometimes route through select lenders, with terms that adjust.

Should I trust the projection or my own records?

Your records. A projection is a model built from comps, while your exports are actual bookings. The stronger your documentation, the less your file depends on a number that can swing.
